Privacy policy

This page explains which personal data is processed when you visit this website and meetingecho.com and meetingecho.de, the websites of our app MeetingEcho, and which data the MeetingEcho app sends to meetingecho.de, for what purpose and on what legal basis. In short: we set no cookies, use no analytics or tracking tools, embed no third-party content and store nothing in your browser.

2. Hosting and server log files

This website, meetingecho.com and meetingecho.de are hosted by Hostinger International Ltd., 61 Lordou Vironos Street, 6023 Larnaca, Cyprus. The content delivery network that serves the pages and our email mailboxes also run through Hostinger. Hostinger processes the data on our behalf under a data processing agreement pursuant to Art. 28 GDPR.

With every request, the server automatically processes data that your browser sends: IP address, date and time, the address requested, the page you came from (referrer), browser and operating system, and the status code and amount of data transferred. We need this data to deliver the website and to protect it against misuse and attacks. The legal basis is Art. 6(1)(f) GDPR; our legitimate interest lies in running the website securely and reliably. The log data is deleted as soon as it is no longer needed for these purposes.

3. Contact form and email

When you write to us through the contact form or by email, we process your name, your email address and your message in order to answer your enquiry. Messages from the form are not stored on the web server; they are sent as an email through Hostinger's mail server to our mailbox. To prevent misuse, the server keeps your IP address in memory for at most 15 minutes after you send the form, to limit the number of requests.

The “Join the test” form on meetingecho.com and meetingecho.de works the same way: it sends your name, your email address, your message and what you tell us about your Mac, macOS version and languages through this server as an email to our MeetingEcho mailbox (MeetingEcho@agilewithai.com), so that we can send you a test version and answer your questions.

The legal basis is Art. 6(1)(b) GDPR if your enquiry is aimed at a contract (for example, taking part in a product test), otherwise Art. 6(1)(f) GDPR; our legitimate interest lies in answering enquiries. We delete your message once your enquiry has been dealt with, unless statutory retention obligations require us to keep it longer. If you take part in the MeetingEcho test, the retention period in section 4 applies.

4. The MeetingEcho app and meetingecho.de

MeetingEcho processes recordings, transcripts and translations only on your Mac; we receive none of it. The app connects to meetingecho.de only in the three cases below. Your licence key contains the name and email address it was issued to. Any other connections the app makes, for example to download speech models or to services you set up yourself, are described in the app's privacy notice.

Update check. Once a day, the app asks meetingecho.de for the number of the newest version. The request contains neither your licence key nor anything about your recordings, only what every web request carries: IP address, time and the app's identifier (user agent). Our script stores none of it; Hostinger's server log files are covered in section 2. You can switch the check off in the app under “Settings > About”. The legal basis is Art. 6(1)(f) GDPR; our legitimate interest lies in keeping the software secure and up to date.

Downloading a new version. When you download a new version, the app sends your licence key to meetingecho.de. The server checks its signature, product, term and the revocation list and replies with a personal download link that is valid for two days. For each download it notes the time, licence number and version, but no IP address; these entries are deleted after twelve months. The legal basis is Art. 6(1)(b) GDPR (performance of the licence agreement).

Feedback from the app. Only when you press “Send” in the feedback window does the app send a report to meetingecho.de. It contains your message, a reply address (the address in your licence if you give none), your licence key, the app and macOS versions and your Mac's model. As long as the box stays ticked (the default), it also includes diagnostics (versions, permissions, settings and the steps the app took) and the last 400 lines of the app's log. Before sending, the app removes your home folder name, the names of recordings and email addresses from them. Recordings, transcripts, meeting names and API keys are never sent. The window shows everything before you send it.

meetingecho.de stores each report in a folder that cannot be reached from the web, deletes it there automatically after 180 days and emails it to our MeetingEcho mailbox (MeetingEcho@agilewithai.com). We delete it there once your matter has been dealt with, at the latest after 180 days. To prevent misuse, the server accepts at most ten reports per licence per day, and without a licence three per network per day. For this count it derives a shortened checksum (HMAC) from your IP address and the date using a secret key. The IP address itself is not stored; the checksum is part of the report's file name and is deleted with it. The legal basis is Art. 6(1)(b) GDPR insofar as we help you within your licence or the test. For improving MeetingEcho with your report, and for reports sent without a licence, it is Art. 6(1)(f) GDPR; our legitimate interest lies in fixing errors and answering your questions.

Taking part in the test. When you apply to take part in the test and while you are testing, we process your name and email address, what you tell us about your Mac and your languages, your test licence (its number, the name and email address in it, and its term), and the emails, feedback, screenshots and diagnostics you send us. We use this data to run the test: to send you the test version, your licence, new versions and answers, and to improve MeetingEcho. The legal basis is Art. 6(1)(b) GDPR, because you want to take part in the test, and, for improving MeetingEcho with your feedback, our legitimate interest under Art. 6(1)(f) GDPR. We keep this data until the end of the test and for six months afterwards, so that we can answer questions about it; we then delete it, unless you buy a licence or would like to stay informed. Feedback reports from the app are deleted within the periods stated above.
